Job Description

This role provides administrative and programmatic support for the Department of Pediatrics and performs all tasks and duties associated with the coordination of activities for key initiatives within the Department. The Program Coordinator will assist the Department Chair and Department of Pediatrics Leadership team in the development, planning, management, and delivery for its Health Equity initiatives and programs. As a member of the Department of Pediatrics' central administration team, this person will be a key resource by assuming responsibility for important administrative functions and owner of dedicated specific products.

Job Duties:

  • Provide project coordination, management, and administrative support to Department Leadership for the following administration programs:
  • Health Equity and Anti-Racism Center
  • iDepartment of Pediatrics Equity, Diversity, and Inclusion Initiatives
  • Provides advanced technical and professional administrative support for the programs. This may include meeting management, document production, management of office and project supplies, and the preparation and submission of payment requests, check requests, reimbursements, purchase orders, and supply requisitions.
  • Support team and committee development process to include recording and transcribing meeting minutes; preparing and distributing meeting materials (pre-work, research, presentations as well as follow up communications), agendas, and responding to departmental inquiries and correspondence.
  • Facilitates the collection, tracking, reporting of outcome measures and other data to help drive Health Equity and Anti-Racism Center action plans.
  • Assists with the management of the Department of Pediatrics Bias Reporting Tool. This includes owning the Bias Response Team Meetings and its follow ups.
  • Assists executives with meeting management. Manages complex calendar reprioritizing appointments as needed to address unfolding developments.
  • Produces accurate and professional correspondence, reports and presentations that adhere to branding and marketing guidelines.
  • Coordinate and support faculty, staff, and trainee recruitment efforts for the program(s), in partnership with Departmental leadership.
  • Organizes and coordinates weekly, bi-weekly, and monthly multidisciplinary team meetings.
  • Works directly with other program coordinators to align efforts and serves as a liaison for the program.
  • Assists with preparation of meeting materials including power point presentations and other data visualizations. Coordinates activities with the audio-visual department as needed.
  • Oversees all work orders and facilitates requests related to the programs.
  • Manages complex projects prioritized by Department Leadership.
  • Other job duties as assigned.

Knowledge, skills and abilities:

  • Bachelor's degree preferred. Minimum of 3 years of related experience. A combination of education and experience could be considered in lieu of degree or years of experience.
  • Prior experience working in an academic hospital setting strongly preferred.
  • Strong organizational and project management skills. Strong attention to detail and ability to multitask.
  • Demonstrated ability to work independently with limited supervision.
  • Strong analytical, interpersonal, and oral and written communication skills required.
  • Working knowledge and skills in Microsoft computer software applications (Word, Excel and PowerPoint) and database technologies.
  • Ability to establish priorities and react promptly to a large variety of requests and needs, sometimes in stressful situations.
